Automation of the construction company based on the Dedal CPMS program

The construction site has been determined, permit documentation has been drawn up, geodetic surveys have been carried out, the project has been developed - it is time to draw up estimate documentation and set up cost accounting for construction projects. There are various software products for estimating purposes, but if you are using corporate estimates, you may want to consider using the Dedal Construction Project Management Software (Dedal CPMS) system. This software product will allow you to keep records of construction costs and cash flows not only in terms of cash flow items, but also in terms of the project structure. It will also greatly simplify the audit of the construction company, as it is designed not only for operational accounting of the full cycle of construction projects, but also allows for full management accounting in the construction company in general.
Operational accounting of construction projects closes the cycle from project planning (compilation of estimates and calendar planning of works), project implementation and management of construction production, to write-off of materials, as well as the formation of primary construction documentation.
Management accounting in a construction company, namely the formation of financial construction reporting, allows you to receive reports in terms of project structure, types of work, resources not only in value, but also in quantitative terms with the possibility of grouping data by work executors.

How does it work?

It is possible to use specialized software products, such as AVK or Smetnye tehnologii, to make an estimate, but if you use corporate rates to make an estimate, then in this case you can make the estimate directly in the system, otherwise, simply upload the estimate to the system from a file in in Outbox.xls format, or xml for a specific project. Analytics The project is end-to-end analytics in project planning, cash flow accounting, cost accounting, material inventory accounting.

To optimize the preparation of estimates directly in the system, we provide the storage of normative estimates for works, prices for material, labor and machine resources, as well as the possibility of storing templates of typical projects, local estimates for types of works.

It is also possible to add a separate work to the Work Plan using the normative collection or the Project Template.

Normative collections, estimated norms for types of work, are kept as a directory of individual work with a list and norms of resource costs for the performance of the work, and a description of operations during the performance of the work.

Overhead expenses, which are tied to certain regulatory assemblies, are stored separately and are used when calculating the cost of the estimate, both the cost price and the cost of the works.

Storage of prices for material resources, labor and machinery is possible by region, price type and period. For one and the same resource, for example, a separate price for each region (Central, Western, Northern, Southern) can be used, a separate price of the resource for calculating the cost price, a separate price of the resource for calculating the price of the implementation of works.

When creating the Work Plan, you can immediately calculate the cost of the work and the sales price. Works are subordinated to the project structure, and consist of resources that are used to perform work, as an element of forming the cost of work, and controlling the actual consumption of resources.

The project consists of the project structure (work branches), the works are subordinate to the structure, and the resources are subordinate to the works.

The structure of the project provides a maximum of 7 nested levels, and is used to identify groups of works through classifiers, which are specified in each element of the structure.

For each of the elements of the classifier, it is possible to create a report on expenses and a report on monetary assets and compare projects among themselves by selected elements - structural groups of the project, regardless of the level at which the element was located in the project structure.

The work plan is: firstly, the project estimate (functions of the estimate), secondly, the plan-schedule of project work execution (functions of work planning in the period), the third essence is economic, which is the marginal notice of works, and the fourth is the analysis of the actual performance of work and actual costs (analytical function – control of plan-actual indicators).
The Work Plan object for the working version of the project is dynamic, when new project information is entered in any city of the system, this information is displayed in the Work Plan. The plan can change over time: it can be supplemented with new works, works can be canceled or changed from one work to another, the scope of work and resource norms can be changed, that is, any changes can be made.
Therefore, in order to record the state of the project on a certain date, the Project Budget Estimate object is used, which records the state of the Work Plan at a certain point in time, according to the principle of the Balance as of date. The budget looks like the Work Plan. These project states on a certain date can be compared with each other.

Drawing up an estimate by the resource method (the first estimate essence of the Work Plan object) manually, with the help of a project template and when using regulatory assemblies, or after uploading a ready estimate to the system as needed, the price of resources is updated according to the selected region and price type, the planned cost is calculated and the cost of implementation of works, the total cost of works is determined, taking into account indirect costs, and the planned margin of the project. In the estimate, the cost price and the cost of realization can be calculated simultaneously, which makes it possible to see the margin for each work (the third economic essence of the object Plan of works), independently of how the cost of realization is determined.

After drawing up the estimate, the duration of the works is calculated. Works are interconnected and planned in time (the second planning essence of the Work Plan object). The result of project planning, as well as the planning process itself, can be performed directly on the Gantt Chart. It is also possible to manually set the period of execution of work or branches of work.
After displaying the fact of completion of work volumes - the Work Plan can be rescheduled in time automatically or with manual editing.
After or during the development of the estimate, the planned work can be handed over to the Executor - a third-party subcontractor, or to its own forces. The appointment of the executor is performed directly in the Work Plan.
During the planning of the project and/or its implementation, it is possible to make any changes to the work plan in terms of the composition of works/resources, volumes of work/resources, prices, executors, which at the same time are displayed in the object - a history of change will be changed.

The factual volume of work and the resources used for the completed work are indicated in the Act of Acceptance of Works. The act is formed by the Executor for a limited period. Works performed in-house also apply, in this case the contractor and the organization coincide. The selection of works for actuation is limited by the period of execution of the works, the executor appointed for these works, and the planned scope of works.

The act can be used both for accepting work from Subcontractors and for the implementation of work for the Customer. The data contained in the Work Plan for the work are fully repeated in the act to visualize the completeness of the information and to control the physical and economic indicators of the work, i.e. physical volumes, cost, cost of implementation, period of execution. In the act, the actual value of written-off resources is indicated, which replaces the planned cost in the Work Plan (the fourth actual essence of the Work Plan object) based on the completed work volumes.

The works in the act are selected from the list of works that were previously assigned to the executor. Information on planned and already completed volumes is displayed for the specified works.

When the volumes of completed works are confirmed in the act, users write off the materials. There are three options for accounting for material resources:

● simplified - the accounting is kept in another accounting system and the write-off is formed from the balance of materials uploaded from an excel table to the system, it is also provided for the transfer of acts of writing off materials to another accounting system;
● complete - in the current software product, planning and actual arrival, movement and write-off of materials are carried out;
● end-to-end - involves keeping records of materials in two systems and setting up document exchanges between these systems.

The selection of materials during write-off can use such analytics as organization, warehouse, supplier and the correspondence between the resources specified in the Work Plan and the nomenclature of the ward.

Correspondence of resources and nomenclature in the system can be recorded at any stage: planning - procurement - write-off and used in the future to optimize the selection of nomenclature for resources.

The act of acceptance of works also forms mutual settlements with the Contractors and the Customer (if necessary). The closing of mutual settlements is formed by payment documents. In the report on mutual settlements, it is possible to see the movement of documents during the formation of the balance of debt for the Contractor.

Cash flow is not limited to the closing of mutual settlements for the project, but represents a complete bank statement of transactions and allows you to create a cash flow report by types of cash and/or project structure, in project costing analysts.
